This position is responsible for all pre- and post-award financial grant management functions, driving the budgeting, reporting, and compliance aspects of institutionally funded programs (such as USAID, US DOS, UNHCR, UNICEF). Develops, implements and maintains grants financial management systems in close collaboration with HQ and Field Office finance and program teams. Provides financial management and oversight over grant funded activities, including budget development, monitoring and control, and production and analysis of donor financial reports.Ensures compliance to Medical Teams’ financial policies and procedures and donor regulations and procedures; performs ongoing review of policies, systems and internal control measures including capacity building of field and headquarters grant staff to effectively and efficiently utilize donor resources. Travels to field program locations to support program and humanitarian staff establish strong grant management functions, including hands on support in large scale disaster responses.

  • Develop proposal budgets and budget narratives in collaboration with HQ and Field Office finance and program staff, including revisions and extensions.
  • Oversee the gathering and editing of all required proposal related administrative, forms and documents such as Cost Proposals, SF-424, SF-425, updated budget pipelines, etc.
  • Post-award, work with program and finance teams to facilitate the process of onboarding new projects to ensure internal controls and donor compliance systems are established and followed.
  • Support the development of Field Office annual budgets; based on grant portfolio projections, this may include travel to field locations in support of grant startup workshops or development of cost extensions.
  • Maintain official archive of donor correspondence, donor reports, grant agreements, modifications, and budgets.
  • Over the course of Grant implementation, monitor and alert program and finance teams of potential award compliance issues, re-budgeting needs, and spending trajectories to ensure projects are completed on time and within budget.
  • Lead in financial accountability and reporting for grants in a timely manner to ensure compliance to Medical Teams’ policies and donor regulations.
  • Review and draft subawards, vendor agreements, subcontracts, and other assistance or acquisition agreements according to organizational and donor compliance regulations.
  • Prepare monthly, quarterly, and annual internal and external financial, budgetary and accounting reports of considerable complexity requiring independent judgment, initiative, and extensive knowledge of the organization, accounting, and policies and procedures of various international and federal funding agencies.
  • Review payments charged to grants for conformity to budget; calculate indirect costs and matching costs and charge those costs appropriately.
  • Oversee cash management of all grants and contracts including preparation of requests of funds from grantor agencies. Reconcile and monitor receivables and pursue unpaid billings.
  • Coordinate with internal and external auditors for grant specific audits. Assist HQ Accounting Manager in the preparation and coordination of schedules for the annual A-133 audit.
  • Communicate with institutional donors regarding audit findings, reallocation requests, waiver requests, etc., including travel to field locations for pre-audit preparation and auditor visits.
  • Ensure finance related audit recommendations for all grant funded projects are implemented timely.
  • Lead in financial capacity assessment of potential partners prior to any partnership and conduct regular assessments of existing partnerships.
  • Train finance and programs staff on grant regulations and MTI policies and procedures. Perform grant capacity assessment of finance staff, or partner finance staff, and develop training and development plans.
  • Participate in the design and implementation of internal controls, policies and procedures to ensure compliance with all applicable laws and regulations.
  • Regularly, and occasionally on short notice, travel to international field offices to train staff, provide support, conduct audits and evaluate compliance with in-country laws and requirements, as well as organization policies and procedures.
  • In collaboration with your department, work towards the implementation of MTI’s current strategic plan and the accomplishment of the related strategic goals.

  • Required: Bachelor’s degree in Accounting, Finance, or closely related field.
  • Valid Passport.



  • Five years’ grant finance related experience, preferably with a humanitarian focused INGO, with three years in a management and capacity-building role.


  • Commitment to Medical Teams International’s Calling Statement and Values.
  • Extensive knowledge of generally accepted accounting principles.
  • Extensive knowledge of Uniform Administrative Requirements, Cost Principles and Audit Requirements.
  • Working knowledge of UN financial rules and regulations.
  • Demonstrated ability to prepare and analyze complex financial reports.
  • Demonstrated ability to analyze qualitative and quantitative information, and the skill to teach others to do the same.
  • Knowledge of best compliance practices and ability to design and apply such to current environment.
  • Demonstrated planning and organizational skills.
  • Ability to independently plan, organize and follow through on task.
  • Ability to handle multiple projects simultaneously; flexible.
  • Ability to work collaboratively with remote teams spread across diverse cultures and time zones.
  • Ability and willingness to travel at short notice to country programs to provide surge capacity, support, and expertise for up to 16 weeks a year.
  • Excellent verbal and written communication skills; demonstrated skills in diplomacy, training, and team building.
  • Must have the ability to consistently communicate professionally and effectively with all constituents.
  • Strong interpersonal and cross-cultural communication skills.
  • Ability to communicate effectively both verbally and in writing.
  • Advanced knowledge of, and experience with, Great Plains, Unit 4, or other complex ERP/Financial Management system.
  • Advanced Excel skills, intermediate Word skills, basic PowerPoint skills.
  • Intermediate user skills with Communication software: Microsoft Outlook, Intranet, Internet, and Skype.
  • Proficient in Microsoft word processing and spreadsheet software.
