Overview

InterAction seeks an experienced Vice President of Finance & Administration to serve on the senior leadership team in managing and leading the organization. The incumbent has lead responsibility for organizational infrastructure systems in the areas of finance, information technology (IT), human resources (HR), and administration. Occupying a highly visible role within the organization and with the Board of Directors, the incumbent must have the presence and communication skills necessary to build and maintain effective relationships with internal and external stakeholders. The position reports to the President.

 

In each of the areas identified (finance, IT, HR, and administration) the incumbent is expected to integrate big picture policy and planning issues with the requirements of daily operations. The incumbent must be comfortable functioning in both arenas – conceptual and operational. The successful candidate will have a strong finance background coupled with substantive experience in HR or IT with the latter preferred.

 

Communication skills are critical. The incumbent prepares a wide variety of materials for the staff and the Board of Directors, requiring the ability to write and speak clearly; to analyze, present, and explain nuances; to clarify numerical information for the numerically challenged.

 

Key Responsibilities:

  • Work with Executive Team to develop long-term financial model and regularly monitor financial performance of a small organization with a complex business model.
  • Play a critical role on Executive Team, ensuring cost effectiveness and efficiency in delivery of our financial and operational strategy.
  • Lead and facilitate improvements in IT systems and knowledge management to support Interaction’s development as a learning organization.
  • Serve as the head of Human Resources ensuring needs of InterAction and its staff are met, and that the organization complies with legal requirements.
  • Supervise senior administrative positions with operational areas of responsibility.

 

Management

  • Serve as member of senior management team; advise CEO, President, and other managers on matters affecting, or potentially affecting, InterAction.
  • Maintain strong collaborative relationships with VPs of programs and other senior leaders in the implementation of areas of responsibility.
  • In all responsibility areas, plan and implement infrastructure systems to support meeting InterAction’s mission.
  • Support Finance and Audit committees of the Board of Directors.
  • Organize and manage staff of the Finance & Administration team.

 

Finance

  • Ensure the integrity and accuracy of InterAction’s accounting and other financial records.
  • Lead financial planning and budgeting processes for InterAction, developing policies and procedures to ensure consistency and accurate financial management.
  • Ensure that grant managers are supported in grant-specific financial planning, budgeting and reporting through a multi-dimensional financial system.
  • Ensure appropriate compliance with grant regulations through adherence and consistency in systems and policies.
  • Provide standard and special financial reports to senior management, grant and budget managers, Board Finance Committee, Federal and non-Federal donors, international agencies and others, adapted to need and as required.
  • Ensure annual audit is conducted smoothly and without audit adjustments and/or findings.
  • Ensure timely preparation and submission of annual Form 990.
  • Manage investment portfolio in conjunction with Board Finance Committee and outside advisor.
  • Prepare and negotiate Federal NICRA submissions; guide/negotiate on non-Federal indirect cost recovery rates.

 

Information Technology (IT)

With the support of, or through supervision of the work of relevant Finance and Administration staff:

  • Manage relationship with external IT consultants, including liaison with internal resources.
  • Develop and implement multi-year IT strategic plan in conjunction with consultants and InterAction management.
  • Ensure robust and secure hardware/software systems are available 24/7 in support of end-users.
  • Monitor developments in the IT field beyond InterAction – consider applicability for InterAction.

 

Human Resources (HR)

With the support of, or through supervision of the work of relevant Finance and Administration staff:

  • Ensure HR systems and processes are clearly articulated and implemented: oversee processes for recruitment and hiring; onboarding and offboarding; position classification and salary schedules; performance appraisal; Employee Handbook, policies and procedures.
  • Manage employee benefits programs, including annual renewals as required: health insurance; retirement; flexible spending; life, AD&D, and LTD insurance; annual, sick and other leave.
  • Ensure InterAction maintains complete and secure personnel records for all employees.
  • Stay current with statutory, regulatory, and other changes affecting HR systems.
  • Monitor developments in the HR field beyond InterAction – consider applicability for InterAction; participate in salary, benefits, and other surveys.
  • Ensure the HR function serves as a supportive resource for individual employees.

 

Administration

With the support of, or through the supervision of the work of relevant Finance and Administration staff:

  • Serve as primary contact with outside legal counsel.
  • Ensure InterAction carries full range of appropriate corporate insurance – D&O, liability, ERISA bond, crime, etc.
  • Review all utility and contract service arrangements to ensure InterAction has the best arrangements to serve its purposes and needs.
  • Manage facilities management issues: liaison with landlord; space utilization within InterAction’s office suite; liaison with subtenants; security; emergency and other repairs.
  • Manage property management issues: supplies and other purchasing; office needs – desks, chairs, bookcases, file cabinets, etc.

 

Profile of Ideal Candidate

  • Bachelor's degree in relevant field from a 4-year accredited college or university, with advanced Degree/Certification preferred.
  • At least ten years of progressive finance and related operational or administrative experience, demonstrating a clear increase in responsibilities.
  • Experience in working with different business models (dues revenue, fee for service and grants), including bilateral donors – US and foreign – and foundations.
  • Demonstrated ability with reviewing, creating, and implementing new systems and approaches, including technology-based innovations.
  • Experience at the systems level with Microsoft Office as well as Salesforce or another CRM.
  • Advanced knowledge of accounting and reporting software and experience with Dynamics SL; experience creating and editing reports in Management Reporter or other report writer(s).
  • Strong experience managing reporting, budget development and analysis, general ledger, accounts payable, accounts payable and receivable, payroll, income tax and banking.
  • Experience with HR issues, especially as related to operational and compliance issues.
  • Strong people management skills; demonstrated ability to manage team members and work collaboratively across an organization.
  • Experience with NGOs or not-for-profit sector preferred.
