Job Description

 

The Administration Officer will work in the Norwegian Refugee Council’s Representation Office in Washington DC (NRC USA). The office is one of the units in NRC’s Partnerships and Policy Department (PnP).

PnP is responsible for:

-    NRC’s strategic relations with institutional donors and private foundations;
-    the organisation’s global advocacy and policy work;
-    partnerships with UN agencies and INGOs.

 

Responsibilities

 

The duties and responsibilities of the Administration Officer include providing administrative support to ensure efficient operation of the office. Support the Head of Operations and Public Outreach through a variety of tasks related to organisation and communication. Contribute to the development of new activities.

  • Assist with the day-to-day operations of the office.  Organise, research and deliver on delegated activities
  • Coordinate and liaise with building management, landlord, and ICT
  • Prepare and organise financial documents, assist in bill management and external audit compliance
  • ICT focal point for NRC USA staff, act as ICT help desk
  • Coordinate and liaise with NRC USA Board – assist with meeting planning, communications, and minute taking
  • Assist with the onboarding and installation of new staff members including personnel related matters
  • Support payroll processing including file and record keeping
  • Logistics and procurement lead, facilitate compliance
  • Develop and maintain electronic and manual filling systems and procedures
  • Draft routine correspondence, manage office inventory, and access cards related to office facilities
  • Provide logistical and other support for internal and external events, visits, contacts, and services
  • Coordinate and produce content for NRC USA web site and newsletter, linking to outreach and campaign objectives across departments as needed.
  • Update and administer NRC USA’s online donation page and donor databases (iRaiser, Stripe, PayPal)
  • Support, as needed, with fundraising and outreach efforts
  • Other additional administration, finance and communications tasks, as requested

 

Qualifications

 

  • Solid office administration experience preferably in an international environment;
  • Superior attention to detail and organisational skills;
  • Ability to work with tight deadlines and deliver results with limited supervision;
  • Ability to function under pressure and to handle multiple tasks simultaneously;
  • Excellent computer skills, including proficiency in Word, Excel, PowerPoint, Mailchimp. Experience with Oracle People a plus
  • Self-motivated and with a positive attitude;
  • Conscientious, collegial and service oriented;
  • Flexible, innovative and effective in working collaboratively as part of a multicultural team.

Salary Range USD 53,000 - 56,000
