Essential: Â
- High school diploma/GED or equivalent experience).
- Over 3 months relevant experience in providing administrative support with growing levels of responsibility in an office setting.
- Organizational Skills: Ability to manage multiple tasks and priorities efficiently and meet all required deadlines.
- Communication Skills: Strong verbal and written communication skills to interact effectively with various stakeholders.
- Time Management: Proficiency in managing time and schedules to maximize productivity. Performs tasks efficiently. Good prioritizations skills to manage multiple tasks effectively.
- Attention to Detail: Ensuring accuracy and thoroughness in all tasks.
- Discretion and Confidentiality: Handling sensitive information with the utmost confidentiality.
- Technical Proficiency: Familiarity with office software and tools, such as Microsoft Office Suite and aptitude for database work. This will also include the ability or aptitude to set up AV equipment.
- Initiative, Problem-solving and Adaptability Skills: Follow through to complete tasks upon receiving basic instruction and adjusting to varying needs of stakeholders. Ability to work independently and as part of a team.
- Intercultural Competency: Demonstrated ability to work effectively in intercultural situations, including across different languages, customs, values, ethnicities, and the broad range of Anabaptist and beyond.

Administrative Support split between Executive Director, Regional Board and Regional Reporting 100%
Specific Tasks and Duties:Â
Executive Director Administrative Support:Â
- Calendar Management: Schedule and coordinate meetings or appointments and arrange travel arrangements to ensure the executive's time is used efficiently.
- Communication: Liaise between the executive and internal/external parties, managing emails, phone calls, and other forms of communication.
- Document Management: Organize, file and maintain important documents and prepare reports. Handle confidential information with discretion.
- Meeting Support: Take notes during meetings, prepare agendas, and ensure follow-up on action items.
- Project Coordination: Assist with the planning and execution of projects, ensuring deadlines are met and objectives are achieved.
- Travel: Assist with travel arrangements and occasionally accompany Executive Director to provide logistical support such as AV setup for meetings.
Regional Board Administrative Support:Â
- Assist with preparing docket for board meetings.
- Take minutes for board meetings.
- Provide support to regional board committees.
- Be a liaison when appropriate to connect regional board members to resources that support their ambassador role.
Regional Reporting Administrative Support:Â
- Contribute to regional reporting and research efforts by organizing data collection and data received.
- Prepare/generate reports on regional impact and objectives.
- Consolidate and analyze regional information about project plans.
- Support tracking trainings and professional development across the region.
- Provide minimal administrative support for data entry and collection for the Peace and Practice Coordinator and Plain Community Liaison.
- Data entry in Donor Perfect Online (DPO) and Insight project management systems.
Other duties as assigned.
Supervision:Â No direct supervisory responsibilities.
Travel expectations:Â Travel up to 25 days away, with some being local day trips and some overnight trips within the East Coast of the US.
