OUR NEED

Plant With Purpose is seeking an individual who will provide full support to the International Programs Team to achieve the smooth implementation of program activities and the successful achievement of tracking and reporting of program deliverables. In addition to reporting  to the V.P. of International Programs and maintaining the data management process, you would also work with the Regional Directors and Program Officers to ensure quality data from the field partners. You would serve as the go-to person for the international programs data.

Travel Expectations: International Travel: Approximately 10% travel to project sites which at times may be in difficult and physically arduous environments.

Salary Range: Offer will be based on a market rate criteria of experience, qualifications, and work location.

CORE RESPONSIBILITIES

Data Management & Communication

Under the supervision of the V.P. of International Programs:

  • Support the production of departmental monthly, quarterly, annual program reports or updates and other program documentation processes as may be required from time to time.
  • Collect quarterly and annual reports from all program regions; upload into the organizational file sharing system; update statistical data in files that are shared with multiple departments and management teams; reconcile for accuracy with original reports; and follow up with Regional Directors on any outstanding reports and data discrepancies
  • Coordinate and update effective data and knowledge management systems and platforms for the International Programs Department.
  • Manage international programs central data and shared platforms and support cross-departmental synergies and collaborative efforts.
  • Collaborate with the Grants and Marketing teams to fact check program numbers in funding proposals, marketing materials, and other external reports
  • Collaborate with International Programs team and Innovation Lab to develop systems for global data collection, management, and storage
  • Serve as the department’s project manager for the organization’s project management software (Hive), ensuring appropriate projects are updated and complete with actions and deadlines.
  • Maintain the department’s intranet database, that serves as a primary internal communications tool across the organization
  • Develop and maintain a comprehensive, current and usable database for all International Programs partners, contractors, consultants and peers
  • Other departmental data systems support, as guided by the V.P. of International Programs

 

Program Operations Administrative Support

Under the supervision of the V.P. of International Programs and in partnership with the Regional Directors and Program Officers:

  • Help schedule and coordinate departmental internal meetings as well as convening platforms including international programs partners around the world and keep records
  • Coordinate strategic events and conferences facilitated by the International Programs Department, including monthly country meetings, bi-montly regional meetings, quarterly global team meetings, and annual International Program Partnership meetings
  • Ensure fast and accurate communication at all times between mobile US-based program staff and colleagues from all departments
  • Collaborate with the Innovation Lab to coordinate with all International Partners on field data collection logistics during our triennial Impact Evaluation process
  • Assist completing various work wherever other team members need assistance, whether highly-routined tasks or projects demanding skill, discretion, and problem solving skills, e.g., vision trip logistics, international meeting logistics
  • Provide general and varied support to the international programs team by proactively looking for ways to help program team members
  • Maintain an up-to-date foundation donor reporting calendar and manage the process to ensure that reports are submitted on a timely basis
  • Collaborate with the Innovation Lab to coordinate with all International Partners on field data collection logistics during our triennial Impact Evaluation process

 

Program Strategic Operational Support to VP

Under the supervision of the V.P. of International Programs (VPIP)

  • Support VPIP and the International Programs Team in operational and strategic planning, including compiling historic data and creating projections; calculating ratios of major budget categories to examine changes over time; comparative analysis of country level compensation; fine-toothed comb through operations budget to identify formula errors or anomalies, among others
  • Assist with the preparation of materials, reports, powerpoint presentations for the VPIP presentation to the Board of Directors, donors, conferences and other internal and external stakeholders
  • Help track and respond to request and correspondence to the International Programs Department
  • Support the VPIP in the preparation, management, and tracking of program budget, program implementation, and narrative and financial reporting as required by internal and external stakeholders
  • Support the VPIP in strategic and operational planning, including comparative analysis, trend analysis, and careful review of key financial documents
  • Support the VPIP to maintain high level contacts with current and potential donors and program partners
  • Support the substantive development and submission of reports and proposals led by the VPIP to institutional donors including writing, proof-reading and editing
  • Conduct funding research and support the VPIP to develop new foundation and bilateral donor partnerships and funding opportunities
  • Carry out additional research in support of ongoing and new initiatives as requested by the VPIP

WHAT WE'LL LOVE ABOUT YOU

Required Education &  Experience

  • Bachelors in international development or related field
  • 3-5 years experience working with international teams in a global setting
  • Experience working at the intersection of environmental restoration and poverty alleviation/international development

Required Skills

  • You have experience living overseas, and working in a cross-cultural, rural context
  • Demonstrated ability to support executives and diverse global program leaders to manage efficient, effective, and integrated international programs spread across three continents. 
  • Experience in the development of strategic and tactical plans in cooperation with other stakeholders.
  • Strong change management, results oriented and consultative decision making skills in a fast-paced matrixed management and highly collaborative environment.
  • Excellent presentation skills and verbal and written communications skills.
  • A demonstrated track record in program budget preparation and financial management and excellent spreadsheets skills. 
  • Awareness of and sensitivity to working in multiple socio-economic settings and with multicultural groups in a developing country environment.
  • Tasks involving technology, databases, spreadsheets, multivariable data sets, spatial analysis, and georeferenced data excites you.
  • You have strong project management skills, including time management, organizational skills, and effectively communicating with other team members.
  • You are able to adapt your communication style (both verbal and nonverbal) in multicultural contexts
  • You are willing to occasionally work overtime as needed
  • We are a technology driven, Mac-based organization. You must be skilled in using technology, including video conferencing systems that support meetings, coaching, and trainings

 

Bonus Points

  • You have fluency/proficiency in one or more of the following languages: Spanish, French, Swahili, Thai
  • Expertise in research to practice—identifying best practices and adapting them to project realities.
  • Demonstrated experience in new business/resource development, including proposal management, program design and proposal writing.
