Corus International is seeking a Senior Program Associate, Humanitarian Assistance to join its Impact and Partnerships Department.

This is a hybrid remote position in Washington, DC or Baltimore, Maryland.

The Senior Program Associate, Humanitarian Assistance, is a member of the Impact and Partnerships Department and provides programmatic support to the Humanitarian Assistance (HA) portfolio, focusing on Ukraine, Turkey and other HA priority countries under consideration. The Senior Program Associate liaises between Headquarters, country offices and sub-grantees (partners), monitors adherence to contracts, grant agreements and assists in reconciling milestones and impact reporting. This role will also support portfolio expansion and implementation of humanitarian response activities.

Key Result Areas:

  • Support project implementation activities.
  • Track progress of projects, activities and keep key team members and field staff informed of progress, achievements, issues, challenges, and concerns on a regular basis.
  • Contribute to documenting lessons learned and innovations of activities and operational processes.
  • Support tracking, assisting consultants and sub-grantees, including their payments, milestone reporting, and closely liaise with procurement and other relevant departments.
  • Track activity expenditures budgets vs actuals production and system inputs in collaboration with International Finance and relevant Program Managers.

Responsibilities:

  • Provide programmatic administrative support to Headquarters and field teams, partners, and service providers.
  • Coordinate the input, formatting, and editing of program deliverables including quarterly reports, annual work plans, and other documents as required.
  • Maintain and update project documents, agreements, reports, and relevant records and track to ensure project activities are implemented in accordance with project plans, donor requirements and compliance.
  • Oversee and assist in tracking resource commitments, contractual obligations, and modifications with input from supervisors and Procurement team.
  • Maintain departmental database folders and update in SharePoint and Salesforce and ensure all project documents are accessible.
  • Prepare payment documents, invoices and assist in transfers to consultants, contractors, services providers, and partners.
  • Support the monitoring of program budget burn rates, project deliverables (targets and indicators), and the use of unrestricted/designated funds and allocations.
  • Assist in annual budgeting and forecasting exercises, coordinate with International Finance to support project team in timely review, analysis, and decision-making related to spending versus budgets.
  • Update relevant data in Salesforce, Adaptive Planning, and other relevant software and manage content related to program implementation.
  • Conduct analysis for project-related information, including beneficiary data, project expenses, and project activities.
  • Assist in material resource planning and shipment including coordinating and maintaining records.
  • Assist with project closeout and final reporting.
  • Coordinate and schedule events, retreats, and meetings to include taking minutes and circulating notes and action items following meetings.
  • Support supervisor in responding to project-related inquiries from donors, partners, and other stakeholders.
  • Other duties as assigned.

Education & Experience:

  • Bachelor's Degree in international discipline or related field.
  • A minimum of three years' relevant work experience including international program support and working with staff in a multicultural and multi-linguistic environment.

Knowledge, Skills and Abilities:

  • Excellent verbal and written communication skills in English.
  • Knowledge of project management tools and budget monitoring.
  • Commitment to support Corus International's vision and programming direction.
  • Strong team player, collaborative and transparent.
  • Cross-cultural sensitivity.
  • Flexible, highly motivated self-starter and eager to learn.
  • Abilities in a second language and knowledge of HA focused countries highly desired.
  • Experience working with INGO sector preferred.

Working Conditions, Travel and Environment:

  • Corus has a hybrid work policy, allowing work to be done remotely; 2-3 days/week minimum in the office is required. The employee must be available to work outside normal office hours or weekends as required. As a non-exempt role, this position is eligible for overtime.
